Smarter Group Bookings: A Custom CRM for StayRCC

StayRCC is a provider of seasonal, student residence accommodations, typically on College/University campuses, that are affordable and more spacious than comparable offerings. During the summer months, they essentially operate as a hotel. A significant portion of their business comes from Groups (Sports, Conference/Meeting, Educational, Corporate, Tours, Hobbyist, etc.). The client wanted to create a custom Group Reservation System that functioned largely as a CRM (Customer Relationship Management) system.

Since they aren’t really your typical hotel or student residence, they needed a centralized, scalable system flexible enough to match their unique process flows (also something they could customize at every level while also streamlining, reducing human error, reporting, etc.). Off-the-shelf CRMs didn’t cut it. So we decided to build them something custom. 

Here’s what we did…

We built a custom web-based CRM platform designed specifically for StayRCC’s group booking workflow. It handles everything from inquiry intake to contract creation, invoicing, and payment—all in one place. Automated emails, digital signatures, and payment reminders eliminate busywork and reduce errors.

The sales managers also have access to a personalized dashboard that tracks leads, performance metrics, and tasks. 

The result is better visibility, faster response times, and a smoother experience for both staff and clients.
